Have I told you lately...that I THANK YOU?!

I am sure by now I’ve made it clear just how impressed I am with the dedication of our chapter leaders and volunteers that contribute to the success of ASTD. Just this week, however, I developed a new special place in my heart for the hard work they all contribute. 

I, myself, am a volunteer of a chapter. Not an ASTD chapter, but rather a local chapter of my alma mater’s alumni association. I am a proud South Carolina Gamecock. Some may say too proud at times, but it is that passion that has me involved as a chapter volunteer to begin with! 

Just this week I met with members of our Washington DC Gamecock alumni board. We are working on a particular chapter event that is expected to draw 125 attendees. As I am sure you can imagine we have a lot of work to do to make this happen. Calling potential attendees, working through the catering and table rentals, and having volunteers assigned to the registration table. Since our event will be outdoors, that means we’re also watching the weather forecast like hawks as well. 

As I opened a spreadsheet of name and phone numbers of potential guests assigned to me to connect with, I thought – “This is a full time job!” And that stuck with me today as I connected with so many ASTD chapter volunteers. I remembered to say thank you just a little more than usual to thank them for not only working as a full time professional, but for working their second job as an ASTD volunteer. 

For those ASTD volunteers out there reading, please accept my hearty – THANK YOU!

The Value of Recognition

Time. It’s a cherished commodity that all of us wish were in greater supply. More time for family. More time for personal pursuits. More time at the office to finish projects. It seems that in this day and age, we have an increasing number of tasks and a decreasing window in which to accomplish them all. For ASTD volunteers, this is the centerpiece of an age old internal struggle: “I love volunteering, but how to can I fit it in with my other obligations?”

Far too often, organizations take their volunteers for granted. There is a sense that when someone is elected as a V.P. of Finance, V.P. of Membership, or V.P. of Programs, that this individual is honor-bound to complete their board assignments on time, in full, and error-free. While many do their level best to achieve these results, this work is often done in between a conference call at work, a client visit, a run to the bank, dropping the kids off at soccer practice, or making a run to the dry cleaners. Personal time devoted to volunteerism is a tremendous commitment and must always be met with a loud “Thank you!”

There is no such thing as too many kudos. No one has ever been upset due to an excess of praise. There has never been a meeting in which an individual recognized for excellence has stormed out of the room in disgust. The smallest gestures of appreciation are the greatest tools a chapter has in keeping their volunteers happy and motivated. The strongest chapters, and the ones with the best lines of succession, are the ones in which people are valued, recognized for their contributions, and given the chance to shine.

Praise and appreciation are critical tools that must be employed in both the public and private spheres. While a general membership announcement highlighting what a great job the V.P. of Programs had done in arranging an event, it’s every bit as powerful to approach the individual after the event and offer personal thanks for the hard work they put into making the program a success. Taking a moment before each board meeting and general program to individually recognize the accomplishments of volunteers, is one way that chapters can ensure volunteers will continue to serve and operate at a high level.

Posting a testimonial on LinkedIn is a great way to demonstrate to the public how important a volunteer has been, and allows their accomplishments to be showcased. It is also the best way to recruit your next generation of volunteers. If others see that current volunteers are appreciated and cared for within an organization, they are far more likely to give their time to the group.

There is a critical level of understanding that must be met in never forgetting that board members are in fact volunteers with many other obligations. If a board member misses a meeting due to an obligation at work or with their family, they should be filled in on what they missed to keep the communication as seamless as possible.

Finally, chapter awards such as “volunteer of the year” are an excellent way to tangibly reward service to the chapter volunteers. Small tokens of appreciation such as gift cards, no matter their value, are a great way to not only demonstrate the impact an individual has made, but is the best antidote to the dreaded phenomenon of burnout. In closing, as you lead your next meeting, ask yourself this question, “Have I thanked my fellow volunteers today?”

Participate in an upcoming July webcast!

Depending on where you live, this July could prove to be unbearably hot. So hot in fact, you may find yourself indoors and wishing you had a reprieve from your day. ASTD’s webcasts are a great opportunity to enjoy your air conditioning and pick up some great information!

There are three webcasts scheduled for this month, one of which is part of a new Disney series. ASTD has partnered with the Disney Institute to bring Fortune 500 practices to you. On Monday, July 13, Disney’s Approach to People Management will allow participants to benchmark a few key aspects of the Disney corporate culture by inspiring employee pride and ownership. A moment of clarity for a new ASTD staff member

This past week I joined the ASTD staff and became an ASTD member. I figured one thing out very quickly about our chapters…they MAKE THINGS HAPPEN! Honestly, I wonder if they sleep sometimes! Between the events, educational workshops, mentoring opportunities, community involvement, and social networking – our chapters still remain on the cutting edge of the best practices in the industry. 

It is no surprise to me that our chapters can remain so effective by having such a committed group of leaders in place. While the members of each chapter are crucial to our success – our leaders keep us running in the right direction. One of ASTD’s promise to our chapters is to provide opportunities for leaders to share ideas, thoughts, and brainstorm for ways to take their chapter members to the next level.  A few examples include online resources, toolkits, and conferences – one of which is in full-phase of planning now: The 2009 Chapter Leaders Conference. 

The conference will be held October 30-31 in Arlington, Virginia and is exclusively for current chapter leaders. If you are a current chapter member – rest assured that your leader(s) will return from this conference with several ideas to push your chapter to the next level. If you’re a current chapter leader…mark your calendar and keep your eyes open for the registration announcement which will be made in mid-July!
